This email is to let you know that a patch release is available on our website for download.  Please download this patch as it includes the following fixes and improvements in it:

  1. Updated group number calculations to avoid duplicate group numbering between AgWare and AccuFarm
  2. When you clear a farm on a designated account, the GL account codes and description now also clears
  3. Updated the GL Detail by Account, 1099-INT, and 1099-MISC reports’ PageSize to Letter so that it would correctly print.
  4. Added two new Transaction Journal system reports that exclude the closing transactions.
  5. Changed the “AgWare MGR Help” link to “Join Online Meeting” on the Welcome page.
  6. Updated the Criteria page in Create Check Format to contain the help documentation link.

We are currently working on Check Reconciliation and Interest Allocation.  Our next project will be the rewriting of Statement Definition Reports.

We are excited to let you know that Transactions and Check Printing are complete!  There are a few steps that you will need to do to get ready to start using these sections once you have downloaded the latest version.

 

  1. First Download AgWare MGR 1.5.1:  http://agmgr.com/downloads
  1. Attach your Farms to Bank accounts:  In AgWare MGR, we require that all Farms are associated with a bank account.  Why?  This will create a more accurate system for Farm balances during the transaction and check printing process, and will make check reconciliation an easy to use option.  To do this you first have to set up your bank accounts.  Then we have added an easy to use button that will attach the bank accounts to the farms.  Here is a link to the process:  http://agmgr.com/help/banking-setup/
  1. Adjust your Check Format:  The check printing process uses our new report structure of Fast Reports, so we will need to convert your check format to this new version.  Please email your current check format (It is a .ck file, and if you need assistance finding this file please call us.) to [email protected].  We will update your format, and then call you to set up a time to place it in the correct location on your computer.

Once you have completed these 2 steps you are ready to get started.  The links below are our guides to using Transactions and Check Printing.  I have also attached word document tutorials for both sections.  We are available at any time to walk you through the process via an online tutorial too.

Thank you again for taking the time to attend our Annual Users Meeting. The input and ideas we get at this meeting are invaluable. We are excited to announce that the Farms section of our program is complete and ready to be used. Please download and open this latest version and let us know your thoughts on how the sections are working. Please remember that all these sections are working with the AccuTech system, so feel free to use them on a daily basis.

We have revamped our website at www.agmgr.com. Please check out our Help section for our manual on the Farms section. We are working on completing our other sections also.

AgWare MGR Version 1.3.1, Walk through:

Farms:

This new section is located on the left side. Click on the Farms tab and it will open the Farm area.


When you open this section there will be two left side options, Farm Overview and Edit Farm. The program will first open to Farm Overview. You will need to choose a Farm. You can do this by typing in a Farm Code, using the Farm Code drop down, typing in a Farm, or using the Farm drop down.


When you choose a Farm the Overview will show you the activity in that Farm’s GL accounts. You can click on the + sign next to the Enterprise Code to get a monthly view.


The second option is Edit Farm. This is where you will add new farms and edit information about your existing farms. There are currently 8 tabs in the Edit Farm section.


The fist tab is the Farm tab. This tab holds the general information about the farm. It is also where you would go to change the Farm Code if needed.


The second tab is the Contacts tab. This is where the owners and operators information is stored. You can click on Owners and the hit the Add button to add an owner.


Once you add an owner box, you can choose the owner from the drop down list of your current owners, or you can click on the plus sign and add an owner on the fly. You can also click on the pencil and edit the owner contact information.


The operators tab has the same functionality.


The third tab is the Accounts tab. The accounts tab is comprised of 4 sections: Enterprise, Chart of Accounts, Designated Accounts, and Bank Accounts. These are the specific accounts associated with this farm. You will use the Add and Remove buttons to add items and remove items. These sections will not delete items, only remove the item from the farm as long as a transaction is not attached to it. Below we are showing the Enterprises section. This is where you will add and edit Enterprises associated to this Farm. Please be sure to add your General Enterprise on a new farm so you can see all your general GL accounts in Chart of Accounts.


The second section under Accounts is the Chart of Accounts. This is where you add and remove GL accounts for this farm. This is also where you can add management percentage fees to be automatically taken off of certain income transactions. Just click on the Fees button and enter the % and the GL accounts that you want management fees to be taken on. You can have different fee percent’s associated with different GL accounts.


The third section under Accounts is Designated Accounts. This is where you choose your offset accounts.


The fourth section in Accounts is Bank Accounts. This is where you will associate a certain bank account to a Farm. Please note that each Farm may only have one Bank Account Type associated to it, for example each farm may only have one checking account associated to it and that will be the account that checks are processed from.


The next Tab in Edit Farms is the Management tab. This is where you enter all the management and management fee information.


The 5th tab in Edit Farms is the Land Tab. This tab holds all the land, inspection, and market value information for the selected Farm.


The next tab in Edit Farm is the Insurance tab. Insurance due dates, cycles and agents can be added in this section.


The 7th tab in Edit Farm is the Communications tab. This is where you can come and add conversation notes with owners or operators.


The final tab in Edit Farms is the Custom Tab. This will show the custom fields that you have developed in the Setup Section of the program.


Edit Farms is also where you will enter a New Farm. To Add a New Farm, just click on the button.


A New Farm window will appear. Fill out the Farm Code, Name, Manager, and Ownership type and hit save. You will then need to go through all the Edit Farm tabs to set the new farm up. Be sure to be thorough on this initial set up, especially in the Accounts tab.


Contact Section Update:

Per a request at the User’s Meeting we have added a Find Contact button in the Contacts section.


The below find window will appear and you can search contacts via SSN, State, or any other means.

We are excited that the Annual Users Meeting is only 12 days away! This newsletter contains the first of two downloads that we want you to have time to review before the meeting. This download contains our new contacts, and banking features along with new reports and fixed report items. The second download will be emailed out on Friday, September 11th. This download will contain portions of our Farm section for your review. Please download and open this latest version and let us know your thoughts on how the contacts, banks, and new reports are working.

AgWare MGR Version 1.3.0:

Contacts:

This is a new section that we added under the Setup Tab. When you click on the setup tab on the bottom left of the program, the setup section will open. You will see the following options to choose from. Click on Contacts and the new contacts screen will appear.


When the contact screen opens you can either use the dropdown bar to choose a contact or you can click on the Add New Contact button.


Once the contact is open you can see all the vital information on that contact and their Roles with each farm. The Contact’s Roles box will show whether they are an owner or an operator and all the farms they are involved with. You will be able to add contacts on the fly in the Transaction section (for Vendors) and in Farms Section (for Owners and Operators).

Banking

This new section is also under the Setup Tab. Choose Setup and then click on Banking and the Banking window will open.


Once the banking window is open you can also use the drop down to search for a certain bank or click on the Add New Bank button. Then the banking window will open.


Once the banking window is open you can add your bank information and then add accounts under the bank as needed. You can add the accounts to a specific Farms or leave it as a general pooled account. In the future you will be able to reconcile the bank accounts from this window also.

Reports

  • GL Summary Reports: GL by Account, GL by Enterprise, and GL Detail by Account are all fully functioning now.
  • Posted Transaction Reports: Transaction Summary report has been added to the program.
  • Net Cash Change: Net Cash Change by Farm and Net Cash Change by Trust have been added to the program. In the Net Cash Change by Trust, please check your Buy/Sell value and let us know if this item needs an adjustment.
  • Daily Balance Journal: Daily Balance Journal by Group, by Manager, and by Owner group are fully functioning now.

Report Customizations

In some cases, customers have let us know that their AccuFarm reports are different from what we included in our system.  If you are noticing this please let us know.  In most cases, those users were running customized versions of the standard System reports.  If this occurs for you, we can help create and install a custom report that matches your current report.  The system reports that we install with our system will match the AccuFarm defaults, but we fully expect that customers will need some modifications.  The way our installer works, future upgrades will not affect your custom reports but may update our system reports if changes or fixes are needed.

All of the included reports can be run against your current live database to test against your current reports. Please let us know if you need any assistance with this process.

Crystal Reports

Our original plan for customized Crystal Reports was to convert them to Fast Reports.  That has proven to be more difficult than imagined.  This version includes a Crystal Report Viewer.  We have not put a lot of time into this viewer, as it is a proof of concept intended to show that we could run your old customized Crystal Reports.  If this works and seems useful for you we will make the interface easier to use.  For example right now you need to browse and find a report each time you run it.  We would like to keep a list of your reports so you can just click and run.

The Crystal Report viewer requires that a crystal runtime be installed.  When you click on the menu option we check your system to see if the necessary software is installed.  If the runtime is missing there are links provided to the free runtime downloads.

The Crystal Reports runtime is free for viewers.  If you want to use the new Crystal Reports creator for creating or editing reports it must be purchased separately.  Our built in solution will continue to be Fast Reports.  We understand you may not want to leave behind your investment in Crystal.  This new viewer allows us to keep both options.

We have two exciting items for this newsletter! The first is registration for our Annual User Meeting and second is we are ready for you all to start testing our transaction section of the program. There is a lot of information in this newsletter about the latest version of the AgWare MGR program, please take some time to read over all of it. We appreciate all your support and insight!

MGR Annual Meeting:

Our Annual Users Meeting will be on Friday, September 18th in Des Moines Iowa. We will be having an appreciation dinner on Thursday, September 17th at 6:00PM and then the meeting will run from 9AM to 5PM on the 18th.

Where: Renaissance Hotel (401 Locust Street, Des Moines)

  • Please call 515.244.2151 for hotel reservations. Please tell them you are with the AgWare block and the room rate is $139.00 per night. The block with remain open until August 15th.
  • The hotel has a free airport shuttle

AgWare MGR Version 1.2.8:

We are excited to have a new AgWare MGR version to share with you. Please fully read the below information on the new version before installing it. The install link will be at the bottom of the update information. You will notice a small change to the icon for the program, it is now green! To avoid confusion with our other products we have changed the color. We like the new look and hope you do also!

Over the past few version we have been focused on two areas.

1) Cleaning up issues that were sent in on the reports area

2) Transaction Entry

Reports

More report sections are finished and have had their criteria screens enhanced to work with each other by preserving your last entered criteria.

We have attempted to make our system reports consistent with each other as a group.  In some cases that means that items like page numbers and headers may be slightly different from the original AccuFarm reports.  However, all the reported numbers should match the old reports. Please let us know if you see any variations.

One of the biggest items we missed on the first pass was ensuring that all the necessary fields expanded when longer data was present.  We have fixed all of these that were reported and found a few more in our testing.  If you see any cut off items in your reports please let us know so we can update them.

Report Customizations

Transactions

Our transaction entry screens, including posting and un-posting batches, are 90% complete.  We are still running some tests and making adjustments.  We are not ready for you to start entering transactions on your live system.  But we are ready for you to take a look and do some testing.  To make things easier for you we have setup a test server that you can log into remotely and run the current versions of our software against a test database.  Everyone will receive a second e-mail with their user name and password for logging into the server.  We understand that you may not have used a remote server in this manner, so to help get you started we have a video showing you the steps for accessing the test server. (click on the blue text for the video)

If you have your own internal test system and want to run local instead of on our test system please call us.  We can help you enable the transaction section for your own internal testing.

Transaction Question

Is anyone using the Inter-farm features of AccuFarm combined with Auto Fees?  We have some live examples of each of those separately but not together.  We would like to find a customer that is using both of these features so we can test our new Transactions to see if we generate the same results you are currently generating.

What’s Next?

Next we are working on all the screens found under Farm Data and Maintain Farm.  A few of the initial account setup screens were already completed.  We are now working through all the remaining items.

As we collect feedback on the transaction entry screen we will make adjustment and continue our testing.  As a final testing step we are working on a tool that will take your transactions from the last year and recreate batches with in the new software.  We will then have the program look for differences between your original transactions and our newly created transactions.  Once we are able to do that on everyone’s system with no differences flagged we will be ready for you to start entering transactions using the new system.

At that point the Farm Section will also be complete and we will then start on the Statement Definition tool.
