The manage batches section contains two tabs – unposted batches and posted batches.
Unposted Batches
The unposted batches tab shows a grid of all unposted batches in your database. You’ll see the batch id, the date the batch was created, the debit and credit amounts, the total number of root transactions in the batch, and the total number of unprinted checks in the batch. Each batch row has a plus sign on the left side; when you click on the plus sign, you will see the root transactions contained in that batch.
To post a batch, highlight the batch in the grid and click on the post button. You’ll see a progress bar appear above the toolbar buttons while the batch is posting. You can post multiple batches at a time by using the shift + mouse click or ctrl + mouse click methods to highlight multiple batch rows at once. Once they are highlighted, click the post button.
You can also delete unposted batches by highlighting the desired batches in the grid, and clicking on the delete toolbar button. You will then see a pop up confirmation dialog box showing which batches will be deleted; click delete to delete the batches. Once the batches are deleted, they cannot be recovered, so make sure you really want to delete them.
If an unposted batch is unbalanced, the debit and credit amounts in the grid will be highlighted in yellow. You will have to balance the batch before you are able to post it.
If a batch contains unprinted checks, you will see blue text color in the unprinted checks column.
The view report toolbar button will show you a drop down of all available reports you can run. You will see any custom user reports you have created as well as the system reports. Next is the show auto transactions check box. This will show all of the system generated auto transactions for the root transaction including offset auto transactions, interfarm auto transactions, and management fee auto transactions. Grid tools is the last toolbar button and it has many features. You can copy rows, print the grid, word wrap data rows, and enable the find panel. Posted Batches
The posted batches tab shows a grid of all posted batches in the currently selected year. You’ll see the batch id, date the batch was posted, and the total number of root transactions in the batch. Similar to the unposted tab, you’ll see the plus sign for each transaction row that contains additional transaction details for the batch. You can change the post year by clicking the up or down arrow, or typing the year in the field.
If you double click on a root transaction detail row in the posted batches tab, it will bring up the maintain posted transaction utility. Here you can only edit the production year, vendor, transaction description, and the reconciled status for transactions in the current fiscal year. The reconciled drop down has three options: do not change current value which leaves the reconciled status as-is, set all reconciled which sets the root transaction and all of its auto transactions to reconciled, and set all not reconciled which sets the root transaction and all of its auto transactions to not reconciled. You can also use the maintain transaction toolbar button to bring up the maintain posted transaction utility.
